How Many Promotional Pens Should I Order for an Exhibition?

Too few pens and you run out on day two; too many and you carry boxes home. Here is a practical way to size the order for PrintOnline's Custom Plastic Pen.

Visitor numbers

Start from the organiser's expected footfall, then estimate the share who will actually reach your stand. Not every visitor stops, so plan on a fraction of total attendance, not all of it.

Staff requirements

Add a few pens per staff member for the stand itself: forms, sign-ups and order notes. This is small but easy to forget.

Giveaways

Decide whether the pen goes to everyone who stops or only to people who leave details. A "leave a card, take a pen" rule stretches a smaller order across more days.

Additional stock

Add a buffer of roughly ten to twenty percent for extra visitors and spoilage. That is a planning rule of thumb rather than a PrintOnline figure, but it is a cheap one to follow: at exhibition volumes a spare hundred pens costs very little relative to running dry.

One thing the table makes obvious: the gap between a 250-pen order and a 500-pen order is AED 399. If there is any real chance of running out on day two of a three-day show, the buffer costs less than the lost conversations.

Choosing screen vs UV

UV printing is published as available from 25 to 1,000 pieces and screen printing from 100 to 3,000, so at exhibition volumes both are usually open to you and the artwork decides. For a one-colour logo at 250 or more, screen printing is the economical route; for multi-colour or detailed artwork, UV. Above 1,000 pens, screen printing is the only one of the two still in range. Production deadline

Work backwards from the day the stand opens. Standard production is 5 working days, with a 3-working-day urgent option for a surcharge.

Then add the part most people forget: production starts only after you approve the artwork, not when you place the order. If your proof sits in someone's inbox over a weekend, that weekend comes out of your buffer, not the printer's. Approve fast or order early.

Delivery

After production, courier delivery takes 1 to 2 days and is included, or a special driver can deliver within 6 working hours (AED 50) or 10 working hours (AED 150). For a venue delivery, check who will actually be on the stand to receive the boxes, and when the hall opens for build-up; an office delivery a few days ahead is usually the safer plan.
